Booking Terms & Conditions

Terms of Payment

The following terms apply to direct bookings through La Colina Retreat – best rate guaranteed. If you made a reservation through a third-party booking partner, please contact them directly as their cancellation, modification, and reservation policies may differ.

  • A booking will not be held and is not valid until deposit payment is received and confirmation is issued by La Colina Retreat.
  • Ski season reservations require a payment of a 20% deposit to secure the booking.
  • The remaining balance of the reservation must be received in full at least 10 days prior to the arrival date.
  • The deposit becomes non-refundable 30 days prior to arrival. Cancellations made outside of this 30-day period will receive a refund of the deposit, minus processing fees.
  • Failure to meet these payment requirements may result in booking cancellation. Cancellation fees as below are applicable 
  • A minimum stay policy of 2 nights applies to both loft reservations during ski season.

Prices

  • We accept payment in Japanese yen (JPY) only, through bank transfer, Wise or credit cards through Stripe.
  • All prices are inclusive of 10% Japanese consumer tax.
  • La Colina Retreat rates are subject to change without notice. However, once the deposit has been paid, the most recently quoted value is fixed (in yen).
  • All foreign currency conversions and bank fees are the responsibility of the guest

Discounts

Discounts are available for early bird payment, long stays, and weekdays. Returnee guests have access to a special early bird discount before bookings for the winter season are open.

Amendments

  • Changes in the number and ages of guests may change the final amount due. 

Cancellation

  • Cancellations must be made by email in writing, addressed to info@lacolinaretreat.jp
  • Cancellations made at least 1 month before check-in will receive a full refund of the paid amount (in JPY), minus any merchant fees from banks or payment processors.
  • Cancellation within 10 days of the check-in date will incur 100% of the total price.
  • Any amount refunded in full will not include bank fees or currency conversion charges
  • Any changes to the initial booking may be treated as a cancellation, and there won’t be any adjustment if the reservation is changed to a value less than the value originally contracted.
  • Any cancellations due to delayed flights, inclement weather, medical reasons, etc will need to be claimed through travel insurance. 

Cleaning

  • All rooms will be deep cleaned before guest arrival and will have clean sheets and a clean towel.
  • Mid-stay cleans apply for guests staying 7 days or more, including fresh towels, fresh linen, personal care items refills, and general room cleaning.

Extra persons and additional items

  • The maximum described number of guests per room may not be exceeded. This is a fire safety requirement. 
  • No part of accommodation or stay is able to be sublet to a third party. All persons staying in accommodation must be recorded on the booking and must abide by the terms and conditions.  
  • If a key is provided, loss of this key will incur a minimum JPY 5000 fee for replacement.

Check-In and Out

  • Check-in time is from 3 pm.
  • Check-out time is 10 am.
  • Early check-in (from 10:00 AM) and late check-out (until 3:00 PM) are subject to availability at a cost of ¥5,000 per hour.
  • Contact us in advance if you wish to store your luggage before check-in, or after check-out.
  • In compliance with Japanese law, all non-residents of Japan must provide passport details before check-in. Payment details must match the guest-submitted passports. We do not accept third-party payments. Non-compliance will result in booking cancellation without a refund.
  • Parking is not available before check-in time or after check-out.

Damage to properties, fixtures, fittings

  • Guests must accept responsibility for loss and damage to the accommodation during the stay, including all fixtures, furniture, and fittings.
  • Your personal belongings, including lift passes and rented equipment, are at your own risk during your stay.

Smoking and Pets

  • All of our accommodations is non-smoking, including transit areas within the properties.
  • If guests are found to be smoking in accommodations they will be warned to stop. If repeated, the party may be evicted without a refund.
  • If smoking has damaged the room or requires cleaning and airing, the guest will be charged for this excess cleaning, with additional charges levied when accommodation is considered un-rentable
  • Pets are not permitted. Failure to comply with this will result in immediate eviction without a refund.

Parking

  • Parking during the winter season is extremely limited and depends on snow clearing. One parking space per accommodation is secured. Contact us in advance if additional parking is required.
  • Street parking is illegal and extremely dangerous during the winter season due to snowblower operations.

Insurance & Weather

  • La Colina Retreat recommends that all guests purchase travel insurance to cover any delays, last-minute cancellations, or unavoidable changes to plans. Guests are responsible for covering themselves.
  • La Colina Retreat, its employees, agents, or contractors accept no responsibility or liability for any death, injury, accident, or damage to personal property (including baggage), or any other matter arising from actions, omissions, or events beyond their control.
  • La Colina Retreat operates solely in Japan, and Japanese law applies to all services provided.
  • Under no circumstances is La Colina Retreat responsible for costs incurred due to inclement weather or snow conditions, including cancellations and delays.
  • In addition to the above terms and conditions, all bookings are also subject to the House Rules below

House Rules

  • 🚭 Smoking/vaping is not permitted inside the apartments or in the building’s common transit areas. Please smoke in the parking lot and bring your own ashtray. No cigarette littering outside.
  • 📸 No unauthorized guests, events, photo sessions/shoots are permitted without prior consent.
  • 🐶 We have a no pet policy.
  • 👠 Please take your shoes off before entering the apartment. Use the slippers provided.
  • ⛰️ Keep the mountain clean and do not flush anything other than toilet paper. Do not flush tissue paper or plastic as it may clog or damage the toilet pipes.
  • 💴 If you like any equipment, amenities or decoration of the apartments let us know. We will tell you where you can buy it.
  • 🌡️ Fan Heaters on Loft 201 and Loft 202 take some time to heat up the room. Once the temperature has been increased, wait for 5-10min until hot air is being blown.
  • 💤 Quiet time after 10 p.m.
  • 🍽️ No eating or drinking in bedrooms. Please enjoy your meal in the dining room.
  • 💡 Make sure to turn off the lights, fan heater, and any electronics when you leave the apartment
  • 🔑 Don’t forget to close the windows and lock the door.
  • 🏚️ Report any damages and/or breakages in a reasonably timely manner.
  • 🗑️ Wash the dishes, and throw out the garbage in the bins before checkout.
  • 💍 Please keep your cash and other valuables with you, La Colina will not be responsible for any theft or loss of valuables. Unless otherwise specified, lost and found items will be kept for a period of 30 days from the date of receipt (or date of discovery). After that, we will follow the procedures stipulated by law.
  • ♻️ Follow waste disposal rules and use the marked bins.
